Quran Academy Manager

The problem

Quran Online Mentor Academy tracked students, daily lessons and parent communication by hand. Lesson records were scattered, parent progress reports took manual effort every time, and there was no single place to see which students were falling behind or which parents still had no contact number on file.

Our approach

Design a focused management system around the academy's real workflow — students, daily lessons, parent reporting — instead of a generic school ERP. Keep the parent experience effortless: a private portal link per family, and a polished PDF report parents can receive on WhatsApp.

What we built

• Student records with sequential codes (QOM-0001 onwards), filters and parent grouping
• Daily lesson tracking with subjects, progress flags and a needs-review marker
• Branded parent PDF reports generated from real lesson data
• A private parent portal (/p/[token]) so families see progress without an account
• A real-data analytics view and an admin settings area
• Secure admin login with a 180-day “remember me” option
• A bulk import path for existing student records

Evidence

The system is live and used in the academy's actual daily operations with real students. A companion reporting automation is being set up on the academy's own infrastructure to produce a read-only morning report from its database — lessons recorded yesterday, students with no lesson in 3 days, missing parent numbers, unresolved review flags.

Outcome (measured only)

We publish no invented metrics for this project. What is verifiable: the system is deployed, in daily operational use, and replaced the manual tracking process for the academy.

Limitations

• Several parents' WhatsApp numbers are still being collected by the owner, so some reports cannot be sent yet.
• Report delivery to parents is a manual share by design — fully automatic WhatsApp sending would require the official WhatsApp Business API, which we do not misrepresent as included.
• The daily agent report currently depends on a database configuration the owner is completing privately.
